We have updated the English versions of our Terms of Use, Privacy Policy, and Refund & Return Policy to improve clarity and consistency.
Regarding Revisions to the English Terms of Use
We have made the following revisions to the English version of our Terms of Use in order to improve clarity and consistency:
- Unified the name of the operator as “Dispensing Pharmacy KITAOKA.”
- Standardized the term from “Terms of Service” to “Terms of Use.”
- Corrected grammatically unnatural expressions and spelling errors (e.g., “e mail” → “email”).
- Completed the reference to the Privacy Policy so that it clearly directs users to the Privacy Policy page on this Site.
- Clarified company names and wording in the disclaimer, limitation of liability, and indemnification clauses and revised them into more precise English expressions.
- Explicitly specified the governing law as Japanese law, using the wording “in accordance with the laws of Japan, without regard to its conflict of law principles.”
- Added a sentence to the Contact Information section stating that we will respond within a reasonable period of time.
These revisions are intended solely to clarify the wording and ensure consistency and do not change the fundamental intent of the Terms of Use or the basic rights and obligations of our customers.
Regarding Revisions to the English Privacy Policy
We have made the following revisions to the English version of our Privacy Policy in order to clarify the content and ensure consistency:
- Clearly identified the site operator as Dispensing Pharmacy KITAOKA and aligned the use of “we”, “us”, and “our” throughout the document.
- Reorganized the categories of “Personal Information” collected (device information, order information, customer support information), and clarified for each category the purposes of collection, sources, and main third‑party recipients, to improve readability.
- Added explanations about the third‑party service providers with whom Personal Information may be shared (such as hosting providers, WordPress, payment processors, shipping carriers, and analytics providers), and clarified their roles.
- Corrected incomplete or unnatural sentences (for example, the sentence referring to the Privacy Policy) and revised them into natural English.
- Added brief explanations of the purposes of cookies and the potential impact of disabling cookies.
- Added general explanations regarding data retention (how long Personal Information is kept) and security (technical and organizational measures to protect Personal Information).
- Clarified our approach to “Do Not Track” signals (noting that there is no standardized industry rule and that our collection/use practices are not changed in response to such signals).
- Supplemented the sections on changes to the policy (Changes) and on how we handle inquiries (stating that we will respond within a reasonable period of time in accordance with applicable laws and regulations).
These revisions are intended solely to make the wording clearer and more consistent, and do not change the fundamental principles of the Privacy Policy or the basic rights of our customers.
Regarding Revisions to the English Refund and Return Policy
We have made the following revisions to the English version of our Refund and Return Policy in order to clarify the conditions and better align the text with our actual operational rules:
- Clarified the applicable period for returns and refunds: 30 days from delivery, or 45 days from the shipping date in countries where the tracking history does not show a delivery date.
- Organized the handling of cases where parcels are returned to Japan due to customs issues (e.g., import not approved) or non‑receipt due to absence and expiry of the storage period, specifying that a handling fee is required and that, upon receipt of the fee, only the product price will be refunded.
- For payments made via Wise, clarified that we refund the amount received by KITAOKA minus the handling fee, that Wise transaction fees are borne by the customer, and that the refunded amount may be higher or lower than the original payment amount due to exchange rate fluctuations.
- For orders paid by credit card, revised the procedure so that we first attempt to cancel the relevant credit card transaction within the cancellation period set by the card company or payment processor, and only if cancellation is no longer possible do we issue the refund via Wise. In such cases, Wise transaction fees and any exchange rate differences are borne by the customer.
- Stated that, if the customer wishes to have the item reshipped after it has been returned, the same handling fee as for a refund is required, and that reshipment will only be arranged after the handling fee has been received.
- Clarified that, if a parcel is returned to Japan and we contact the customer by email regarding a refund or reshipment, but receive no response within 30 days from the date of our email, we will no longer be able to accept any requests for returns, refunds, or reshipment for that order.
- Consolidated and listed the conditions under which returns cannot be accepted (e.g., the item is not in its original condition, damage or missing parts not due to our error, expiry of the applicable period) and retained a note instructing customers not to return items directly to the manufacturer.
- Added a section on damage or loss of parcels during international shipping, stating that compensation is provided in accordance with Japan Post’s compensation system, that there is no compensation for shipments sent with free shipping, and that for EMS shipments we will compensate based on the results of Japan Post’s investigation and compensation decision.
- Clarified that we cannot ship to anyone other than the purchaser, and that shipments to addresses other than the purchaser’s own residential address (for example, via another country or to friends or family) constitute a violation of our policy and are not eligible for any compensation.
- Refined the English wording and structure of the sections on exchanges, sale items, and shipping returns to make them clearer and more natural.
These revisions are intended to present the conditions for refunds, returns, reshipments, and compensation in a clearer manner and to align the policy with our actual operational practices. They are not intended to unfairly restrict the basic rights of our customers.
